How to Efficiently Shorten a Microsoft Teams Meeting URL

To shorten a Microsoft Teams meeting URL, the easiest way is to paste the meeting link into MSTeams.link, a free shortener built only for Teams meetings: you instantly get a short link and its QR code, without creating an account.

Every company runs into the same problem: Teams meeting links are endless. They break in emails, get mangled when copied and pasted, and are impossible to read out over the phone. In this article, I explain why, and show three ways to shorten them depending on how you work.

What a Teams link really looks like

Here is a Teams meeting link in the legacy format:

22 characters instead of more than 180. The second one can be read out loud, fits on a slide and doesn’t break in any email client.

Why are Teams meeting URLs so long?

The legacy /l/meetup-join/… format embeds encoded internal identifiers: the meeting conversation ID, the organizer ID and the tenant ID. On top of that, every special character is encoded (%3a, %22…), which makes the address even longer.

What about Microsoft’s new short link format?

Microsoft has introduced a shorter format based on the meeting ID and a passcode: https://teams.microsoft.com/meet/<ID>?p=<code>. It is real progress, but the link is still long, hard to remember and to read out, and you will keep seeing the old format in existing invitations and recurring meetings for a long time.

What problems does a long Teams URL cause?

• Broken links in emails, text messages and some chat apps, leading to an error page.
• Copy-paste errors: one missing character and the link no longer works.
• Impossible to share out loud: on the phone, in a video call or in a training session.
• Unreadable on printed material: slides, posters, printed agendas.
• Received invitations rewritten by Microsoft Defender Safe Links, which makes the link even longer.

Method 1: the MSTeams.link website, in three steps

This is the simplest method, with nothing to install:

1. Copy your Teams meeting link. In Outlook or Teams, open the meeting and copy the link after “Join”. If you can’t find it, this guide shows how to copy a Teams meeting link in Outlook.
2. Paste it into MSTeams.link and click Shorten.
3. Share the short link by email, text message or chat, or download the QR code.

The short link opens exactly the same meeting, on desktop and on mobile.

Method 2: the Chrome extension, one click in Teams and Outlook web

If you schedule a lot of meetings, the MSTeams.link Chrome extension saves the back and forth:

• it detects the Teams link on the page (Teams web, Outlook web) and pre-fills it;
• it creates the short link in one click;
• in Outlook web, an option automatically puts the short link and its QR code in your Teams invitations. The “Join” button keeps working, and the original link stays in the invitation for Teams Rooms.

Method 3: the Outlook add-in, right in the invitation

The MSTeams.link Outlook add-in adds a “Shorten Teams link” button to the Outlook ribbon. It works in Outlook on the web, new Outlook for Windows, Outlook for Mac and classic Outlook, without a browser extension:

• in a meeting you organize, it replaces the long link with a short link, without touching the title, meeting ID or passcode;
• on a received invitation, it gives you a short link to share, even if Safe Links rewrote the original link;
• it doesn’t change the “System reference” link that Teams Rooms read to join in one click.

For administrators, the add-in can be deployed to the whole organization from the Microsoft 365 admin center > Settings > Integrated apps > Upload custom apps, using the manifest URL shown on the add-in page. No need to ask every user to install it.

The QR code: for screens, posters and printed material

Every short link comes with a QR code. It is especially useful to:

• display the meeting on a screen in a meeting room or at the start of a training session;
• print it on an agenda, a poster or seminar material;
• let people join from a phone without typing anything.

Security and access rules: what doesn’t change

This is the question security teams always ask me, so let’s answer it directly:

• the short link is a simple redirect to the original Teams meeting: the lobby, anonymous guest access and the tenant’s meeting policies apply exactly as before;
• MSTeams.link only shortens Teams links and trusted destinations instantly, and blocks suspicious destinations: the tool can’t be used to hide a phishing link;
• if your proxy or web filter blocks URL shorteners by category, remember to allow the msteams.link domain so your attendees can join.
